The Center for the Advancement of Well-Being (CWB) invites candidates for the Budget Manager and Project Administrative Assistant position. The mission of the center is to catalyze human well-being by promoting the science and practices that lead to a life of vitality, purpose, resilience, and engagement. About the Position:

The Budget Manager and Project Administrative Assistant reports to the center’s Executive Director and Chief Well-Being Officer, managing the budgetary, fiscal, and operational areas of the center. This position includes oversight of all budget and financial processes, quarterly and year-end fiscal reporting, budget forecasting, procurement, purchasing, processing payroll and faculty stipends, and onboarding new employees. This role works collaboratively with all center personnel in budget, operations, and office administration. The Budget Manager serves as a liaison to Central Human Resources in University Life and to the Office of Human Resources and Payroll.

 

Responsibilities:

  • Finance/Purchasing
  • Interpret fiscal policies and procedures and apply that information to operations and business practices; ensure that all purchases meet budgetary guidelines, university procurement policies, and state laws and regulations;
  • Manage eVA-Virginia procurement system for purchases and apply knowledge of Commonwealth of Virginia and George Mason University policies, rules, and regulations for center’s business and program operations;
  • Manage all fiscal, operational, and human resource functions of the center;
  • Manage accounting and financial transactions including, but not limited to, accounts payable and receivable, purchasing, reconciliation, revenue/expenditure forecasting, and year-end financial close-outs;
  • Analyze and summarize financial performance in support of short and long-term strategic planning and decision making;
  • Develop annual operating budget based on past performance, strategic plans, and operational realities;
  • Coordinate the center’s executive education program budgets with the Continuous and Professional Education (CPE) Office; serve as the liaison to the CPE budget manager;
  • Assist vendors in registering as a George Mason University approved vendor via the eVA system;
  • Process travel pre-authorization requests and reimbursements; and
  • Serve as the telecom and equipment coordinator.

 

HR/Personnel Support

  • Process HR Payroll-Banner transactions;
  • Manage contracts, renewals, and payroll processes;
  • Coordinate new employee onboarding and separation processes; and
  • Serve as the liaison to University Life Human Resources and the Office of Human Resources/Payroll.

 

Project Administrative Assistant

  • Assist with program and event planning and execution as needed;
  • Assist with general administrative assistant tasks (scheduling, room reservations, etc.);
  • Apply for and CEU’s and CCEU’s for executive education programs;
  • Coordinate tasks related to promotional activities, such as delivering or distributing banners, print jobs, flyers, and signs;
  • Assist with preparation for events, workshops, programs, and tabling events, and volunteer at events when possible;
  • Actively participate in CWB staff meetings;
  • Serve on committees and task forces as needed;
  • Assist with office management; and
  • Other duties as assigned.

 

Required Qualifications:

  • Demonstrated experience managing fiscal, operational, human resources processes, and administrative functions and systems;
  • Ability to exercise sound and independent judgement in fiscal matters and while addressing complex issues with minimal supervision;
  • Knowledge and experience with software applications including: word processing, spreadsheets, databases, calendar/scheduling; proficient in Microsoft Suite software programs;
  • Detail oriented with exceptional organizational skills and experience with managing multiple tasks, functions, and operations; and
  • Exceptional customer service skills and ability to establish and sustain effective working relationships internally (coworkers), across the university, and with external vendors and agencies.

 

Preferred Qualifications:

  • Direct experience with Commonwealth of Virginia and George Mason University policies, procedures and fiscal processes; and
  • Demonstrated experience in a comparable administrative role and experience at a college or university setting.
